How to manage several WhatsApp numbers: work, personal and shop

October 19, 2026 · 5 min read

A work number, a personal number, maybe one for your online shop. Keeping them apart is sensible; checking three places to find one message is not. These are the options people actually use, with their trade-offs.

1. Two phones

The simplest separation, and the most annoying day to day: two devices to charge, carry and search. Nothing is shared between them.

2. One dual-SIM phone with WhatsApp and WhatsApp Business

Install WhatsApp for one number and the free WhatsApp Business app for the other. Each app is fully separate, so you still switch apps and search each one on its own.

3. Two accounts inside the WhatsApp app

Recent versions of WhatsApp let you add a second account in Settings on supported phones, and switch between them. Availability depends on your phone and app version, and it is still limited to two accounts on that one phone.

4. Linked devices on a computer

Every number can be linked to a few companion devices (WhatsApp Web or the desktop app). Many people open each number in a different browser profile. It works for replying, but each window only shows its own number, and search only covers what that device has loaded.

💡 Whatever you choose, back up each number separately. A lost phone without a backup means lost history for that number.

What none of these give you

  • One search box across all your numbers.
  • A record that stays when you change or lose a phone.
  • An easy way to export a customer conversation for hand-over or bookkeeping.

Keep every number's history in one dashboard

WhatSmall links each number as a companion device and keeps a read-only archive of it. You switch between work, personal and shop numbers in one dashboard, search messages and attachments, and export chats. You keep replying from your phone as usual: WhatSmall never sends messages or marks chats as read.
